Working with AI

Full guidance

When you make something with an AI tool, such as an invitation, a greeting, a routine sheet, slides or an image, these values make it look and sound like Aleris rather than almost like Aleris.

Copy the brief for your AI tool

Fixed and yours to adapt

Fixed

  1. The page is sand, not white

    #f2ece4.

  2. One orange thing per page, and it is the thing you want the reader to do

  3. Sentence case

Never capitals — not in a heading, a label or a tab.

  4. Never let the tool draw the logo

    Place it afterwards.

  5. Leave the top of the page clear

The logo, the wordmark, a unit's name, dates, phone numbers and web addresses are placed there afterwards, in PowerPoint, Canva or Word.

  6. No coloured bar, border or shadow along one side to mark something as active, selected or important

Use bold text on a light fill, or a thin border all the way round.

Yours to adapt

  • What you ask for

Paste the brief into your AI tool at the start of the conversation, or into its project instructions if it has them, and then ask for what you actually want.

  • Full-width sections

They may be white, light petrol #d9e1e2 or light orange #ffbe9f, and the page underneath stays sand.

  • More colours for a chart, a set of icons or a numbered list

There are twelve more in the same file, named --color-chart-01-teal through --color-chart-12-dark-sand; use those rather than inventing any.

  • Museo Sans, if you know it is installed

Ask for it only if it is on the machine the file will be opened on, and otherwise set everything in Arial.

  • Software is a different job

Stop pasting values and install the real ones, as the setup for AI coding tools describes in four steps.

Brief for your AI tool

Copy the whole block into your AI tool — at the start of the conversation, or into its project instructions if it has them — and then ask for what you actually want.

Follow the Aleris visual identity in everything you produce in this conversation.

Colour — use these exact values and no others:
- Page background: #f2ece4 (sand). Never white.
- Cards and panels sitting on that background: white.
- Full-width sections may be white, light petrol #d9e1e2 or light orange #ffbe9f. The page underneath stays sand.
- Never put the orange button on light orange.
- Text and headings: #004851 (petrol).
- The one thing you most want the reader to do: #d14811 (orange). Only one per page.
- Decorative orange, never behind white text: #f58c61.
- Green #4f866e means "done". A dot, a badge or a label.
- Red #c14444 means an error.
- Lines, borders and rules: #d7d2cb.

Shape:
- Never mark something as active, selected or important with a coloured bar, border or shadow along one side. Use bold text on a light fill, or a thin border all the way round.

Type:
- Arial. Only use Museo Sans if you know it is installed.
- Sentence case everywhere: headings, labels, tabs. Never all caps.
- Do not use the characters → ← ✓ ≤ ≥ in text.

Never draw these — place them afterwards in PowerPoint, Canva or Word:
- The Aleris logo, the wordmark, a unit's name, dates, phone numbers, web addresses.
- Leave the top of the page clear so they can be put there.

Images:
- A generated image may set mood, pattern and colour.
- It must never claim to show a real Aleris place, a real patient or a real result.

Language:
- Write to the reader as "you", not about them in the third person.
- Calm and direct. No exclamation marks, no "Absolutely!", no marketing adjectives.
- Say what something is before saying why it matters.

Colour

Use the exact values, which are quoted from the token file the products themselves are built from, and no others.

Text and headings are petrol #004851. The one thing you most want the reader to do is orange #d14811, and decorative orange #f58c61 never sits behind white text. Green #4f866e means done, red #c14444 means an error, and lines, borders and rules are #d7d2cb.

  • Do

An invitation on a sand page, with white panels and petrol text

Sand is the page, and white is for the cards and panels on top of it.

  • Don't

The orange button on a light orange section

Orange on light orange measures 2.82:1, below the 3:1 a button needs against the surface it sits on.

Typography

Set it in Arial. Museo Sans is the Aleris typeface, but an AI tool has no way to use it, and Arial is the sanctioned substitute for PowerPoint and for anything made outside the communication department.

  • Do

A slide title in sentence case, with Aleris, MittAleris and Aleris Online in their natural casing

Sentence case holds everywhere, including in tabs, labels and buttons.

  • Don't

A routine sheet where each step ends in a check mark character

The check mark and the arrows are not in Museo Sans, so where the typeface is used they fall back to a different face mid-sentence; use a word or an icon instead.

Imagery

A generated image may set mood, pattern and colour. It never claims to show a real Aleris place, a real patient or a real result.

When a generated image is used externally it is labelled "illustration" or "AI-generated", and portraits of employees are never AI-generated.

  • Do

A generated background of soft sand and petrol shapes behind the text of a poster

The image sets the mood and makes no claim to show anything real.

  • Don't

A generated photo of a smiling stranger in a white coat on a poster for a clinic

Stock or generated photography of strangers in white coats is one of the things that gives an AI away.

  • Don't

A generated portrait of the colleague a patient will meet

An image that implies reality breaks the trust the whole page rests on.

Voice

Write to the reader as "you", not about them in the third person. Keep it calm and direct, and say what something is before saying why it matters.

Text drafted with an AI tool gets a second reading against the list of AI tells before it leaves your hands, because the pass that generates a text misses what a separate re-reading catches.

  • Do

An invitation that opens with what the reader is invited to, when and where

It begins with the person and what they need.

  • Don't

A generated invitation that ends with "Together, we make a difference."

A closing sentence that says nothing is one of the things that gives an AI away.
